Procedure for responding to urgent situation
PROCEDURE FOR RESPONDING TO URGENT SITUATION
1. PURPOSE:
The company makes, executes and maintains this procedure to assure the frequent maintenance to prevent threats that may cause problems or accidents. It also needs to implement suitable solutions to urgent situations to correct and reduce the impact on the working of the company.
2. SCOPE:
Apply to all the activities relating to the environment management system of the company.
3. RESPONSIBILITY:
The general director is fully responsible for:
• Preparing to respond to the urgent situation in the company.
• Assuring the supply of necessary resources including human and finance to solve the urgent problem.
• Considering and giving approval on the plan to solve the problem.
• Assigning one employee to solve the urgent situation.
The head of Environment Project Division (EPD) is responsible for:
• Building and maintaining the Emergency Action Plan and redeploying for urgent situations.
• Supervising and checking the emergency action plan periodically twice a year.
4. PROCEDURE CONTENTS:
• First, EPD will identify significant environmental aspect requirements to prepare for urgent situation.
• Heads of divisions prepare emergency plan by approaching and evaluating these aspects. The evaluation result will be reported to the EPD.
• EPD then will collect information and consider the confidence and emergency level of each situation to decide whether or not the company will need to provide with suitable resources.
• After deciding the necessary resources (money, human…), EPD will hold a meeting to inform the related divisions.
• The heads of divisions start building an emergency action plan for their own divisions.
• EPD is responsible for collecting information and summarizing into a table of general plan of the preparation to the urgent situation, in which the following are specified: actions need to be taken in case of break-down, responsibility, communication….
• The final plan must be looked into and approved by the Director.
• Then, EPD will have responsibility to spread and announce this plan to relevant divisions.
• EPD must choose and organize suitable training course for the employees in the company about:
- Raising the idea of environment protection.
- Building up the spirit of responsibility at work.
- The procedures and actions done when there is a problem.
• Create tests to evaluate the effectiveness of the training course as well as other courses of relevant skills to cope with emergency situations.
• The board of director will directly participate and evaluate the result, and also use incentives to commend and reward active employees. They will also apply discipline toward the irresponsibility that leads to a serious problem.
• The heads of divisions are responsible for frequently reporting the supervision of environment by shift, day or month and directly to the environment divisions
